PLAN ROOM POLICIES
- The Plan Room is available for use by all member companies.
- Each person using the Plan Room should respect the rights and needs of all members.
- Plans and Specifications on file cover projects throughout the state of West Virginia primarily. If you have an interest in projects that are not on file, please provide us with necessary contact information and we will make every effort to try to secure the bid documents for use by all Plan Room members.
- The Plan Room is open from 8:00 a.m. to 5:00 p.m., Monday thru Friday except on observed holidays.
- The Plan Room Technician will be on hand to assist you and oversee Plan Room operations. All Large Format copies are to be processed by the Technician. Spec Books (small format) are on file and can be printed by the Technician also. However, if you are copying specific pages from the book and wish to run them yourself, the small format copier is available. (Please be sure to coordinate with the Technician if they are in the process of running another job - as the equipment is networked and print jobs may be being sent to the copier by way of other computer workstations.)
- Plan Room privileges may be revoked for any member who is not in good standing financially with the Association, or whose employees abuse the Plan Room.
- Plan Room facilities are designed to provide reasonable plan services, and are not designed to accommodate full time use for estimating or the transaction of other business.
- The Plan Room is a intended to act as a library setting. Plans should be viewed as quietly as possible and loud conversation avoided. If prolonged conversation about a project is necessary, you may request to use the Conference Room.
- Business calls may be made using the telephone in the Plan Room.
- Plans and Specs must be handled carefully to prevent mutilation so the next person using them will not be handicapped. All repair needs should be brought to the attention of the Plan Room Technician.
- If Bid Documents are defaced or mutilated deliberately, the Association will hold the member company liable for defraying the cost of reprinting and may have privileges suspended temporarily.
- Please try not write on the Drawings or Specifications. Any checkmarks, figures, notes, etc.. should be erased before returning the Plans & Specs to the racks.
- All Plans and Specifications should be returned to the racks when you have finished with them. Addenda should be inserted back into the front of Volume 1 of the Spec Book (if possible).
- Only one set of Plans should be reviewed at one time and activities should be limited to one table.
- Plans should be not left idle during lunch period. They must be returned to the rack so that others who are interested may view the project in your absence.
- While no time limit is set on how long you may view a set of plans - please be courteous to others who may visit the Plan Room interested in the same project. Inform them if you are going to be a while and try to coordinate the sharing of such project.
- No sets of Plans or Specs may be split without the permission of the Plan Room Technician. If necessary, the Technician will make the split.
- Plans and Specs may not be removed from the Plan Room during office hours and may not be reserved for use during office hours.
- Plans and Specs may be checked out overnight. Arrangements must be made through the Plan Room Technician. They may be taken at the end of the normal work day and must be returned by 8:00 a.m. the next morning.
- Anyone removing Plans/Specs from the Plan Room without authorization may have their Plan Room privileges revoked.
